Tasks
Tasks are the smallest unit of work in FlippingKoin. Use them to track to-dos, assign work to teammates, attach files, log time, and roll up progress into the projects and milestones they belong to.
Every task moves through a simple lifecycle — Backlog, Todo, In progress, Review, Done, Cancelled — and can carry subtasks, comments, time logs, and AI-generated summaries.
Step-by-step
- 1Open the Tasks page
From the sidebar, click Tasks. You'll see the board view by default — one column per status. Switch to list view with the toggle in the top-right to see filters, sort, and bulk actions.
- 2Create a task
Click Add Task in the top-right. Give it a name, an optional description, a project (so it rolls up correctly), a due date, and any assignees. Press Save — the task lands in the Todo column.
- 3Assign teammates
On a task card, click the avatar area to add or remove assignees. The first assignee you add receives an in-app notification immediately. Anyone listed can see the task in their personal queue.
- 4Add subtasks and checklists
Open the task detail. Use the Subtasks panel to break work into smaller items — each subtask inherits the parent's project and assignees by default. Use the Checklist for lightweight items that don't need their own status.
- 5Move a task through the workflow
Drag the card between columns on the board, or change the status from the task detail. When a task moves to Done, time logged is summarized and the parent milestone progress updates automatically.
- 6Log time against a task
Click the timer icon on the task to start tracking. Stop it when you finish, or add manual entries from the Time tab inside the task. See the Time tracking topic for how this rolls up into payroll.
Tips
Subtasks inherit assignees and project from the parent — change them on the parent and the children follow. Drag-and-drop on the board respects your access group: if you can't edit a task, the card won't move. Use the Series field to group recurring or themed work; the list view lets you filter by series. Mention a teammate in a comment with @ to push them an in-app notification without changing assignees. Cancelled tasks are kept for audit — they're hidden from default views but still searchable.
Admin configuration
Access groups → toggle `taskAdd`, `taskEdit`, and `taskAll` to control who can create tasks, edit any task, or see tasks they're not assigned to. Settings → AI instructions → 'task' to customize how the AI summary writes task descriptions and comment digests. Plan limits set the maximum number of active projects, which indirectly caps how many tasks each project can carry comfortably.
