On Reports → Custom Finance Report, pick a date range and click Ask AI. The assistant reads the report you're viewing — revenue, expenses, payroll, profit — and answers questions like "Why did profit drop last month?" or "Which expense grew the most?" in plain language, with follow-ups in the same conversation.

A context-aware Ask AI panel sits next to your tasks, documents, and dataspaces. On a task it can summarise, suggest next steps, or draft a reply using the task's details and comments. On a document it summarises or explains what you've written. On a dataspace it answers questions about your table data — no need to paste context, it already knows the record you're on.

When creating a project, use Generate milestones with AI: write a short scope, choose how many milestones you want (2–10), and AI proposes named milestones with descriptions and sensible start/due dates. You can also use Estimate with AI on tasks to get a suggested time estimate (this uses the project's Time estimation instruction).

Draft rich documents in the editor, then open Ask AI on a document to summarise long pages, tighten wording, or answer questions about the content. The conversation stays attached to that document so you can pick it back up later.

In Content Series → Content Plans, use Generate with AI to produce a ready-to-shoot content calendar — titles, post dates, formats (reel, carousel, story), categories, public captions, and detailed creator briefs. Optionally point it at your recent posts so it stays on-brand, then edit and approve the pieces you want to keep.

Beyond answering on demand, AI Agents watch your business around the clock — chasing overdue invoices, flagging at-risk projects, following up on leads — and either recommend an action in your Inbox or run a safe one automatically. Install a blueprint from the Catalog or build your own with the no-code Workflow Builder.

From the sidebar, click Projects. You'll see one card per active project with progress and the next milestone date. Switch to the list view for sort and filter controls.

Click Add Project. Pick the client, give the project a name, set start and end dates, and assign an owner. Save — the project lands on the board and gets its own detail page.

Open the project detail. Under Milestones, add the major deliverables with their due dates and billing amounts. Under Services, list the offerings you're billing for. Once a milestone is linked to an invoice, its amount locks — use the invoice Split flow to adjust the billing if the scope changes.

From the project detail or the Tasks page, create tasks and set their Project field. Time logged on those tasks rolls up into the project's totals.

Click New Invoice on the project. The form pre-fills the client, milestones, and services so you can issue a bill in seconds.

Switch to the Social tab to connect a Facebook Page, Instagram Business, or LinkedIn Company Page for this project — used by the content planner to auto-publish.

Switch to the CMS tab on the project detail. Enable CMS, generate API credentials, and optionally restrict access to specific domains. Published pages under this project become available through the public headless CMS API — see the CMS topic for how to integrate.

Projects

From the sidebar, click Tasks. You'll see the board view by default — one column per status. Switch views using the toggle in the top-right: board, list, calendar, or day.

Click Add Task in the top-right. Give it a name, an optional description, a project (so it rolls up correctly), a due date, and any assignees. Press Save — the task lands in the Todo column.

On a task card, click the avatar area to add or remove assignees. The first assignee you add receives an in-app notification immediately. Anyone listed can see the task in their personal queue.

Open the task detail. Use the Subtasks panel to break work into smaller items — each subtask inherits the parent's project and assignees by default. Use the Checklist for lightweight items that don't need their own status.

Drag the card between columns on the board, or change the status from the task detail. When a task moves to Done, time logged is summarized and the parent milestone progress updates automatically.

Switch to Day view to see all your tasks as horizontal bars on an hourly timeline. Drag a bar left or right to reschedule it, or drag the right handle to adjust the estimated time. Working hours and holidays are highlighted so overtime is easy to spot.

Inside the task detail, click Estimate with AI to let the model read the task title and description and suggest an estimated time. The suggestion fills the Estimated time field automatically — edit it before saving if needed. This requires a time estimation AI instruction set in Settings → AI instructions.

Click the timer icon on the task to start tracking. Stop it when you finish, or add manual entries from the Time tab inside the task. See the Time tracking topic for how this rolls up into payroll.

Click your avatar in the top bar → Notes. The list shows the most recently updated first.

Click New Note. Give it a title and write the body. Notes save as you type — no Save button needed.

Open the note → menu → Delete. Notes are permanently removed (no trash — they're personal).

Click Documents in the sidebar. The page shows all documents you have access to. Use the filter strip at the top to jump between All, Starred, or a specific folder. A Recently Opened strip at the top of the All view shows your six most recently visited documents.

Click New Document. Choose the project it belongs to, give it a title, and optionally place it in a folder. Set view and edit permissions — Admin Only, Team, or Specific Emails — then save. The document opens immediately in the editor.

The SmartEditor supports rich text with headings, lists, tables, images, code blocks, and embeds. Drag images in to upload to S3 and embed inline. Use the / command menu to insert blocks. The AI writing assistant is available in the toolbar — highlight text and ask it to rewrite, expand, summarise, or translate.

From inside a document, click Add Page in the left sidebar. Sub-pages inherit the parent document's access permissions and appear nested under it in the sidebar. Use sub-pages to break long documents into sections — each section has its own URL and editor.

Click the star icon on any document card or use the Star button in the document sidebar. Starred documents appear when you select the Starred filter on the Documents list, and they sort to the top of the All view.

Admins can create folders from the Documents list (+ New Folder button in the filter strip). When creating or editing a document, pick a folder from the Folder dropdown. Filter to a folder by clicking its pill in the filter strip.

Use the view toggle in the top-right of the Documents list to switch between card grid and a compact table. The table shows Title, Folder, Project/Client, Last Edited, and Author at a glance — useful for large document libraries.

Inside any document, click Download as PDF in the top bar. The current content is rendered to PDF and downloaded — useful for sharing a snapshot with clients who don't have app access.

Documents

Navigate to any project, then click CMS in the project sidebar. All content pages for that project are listed here. Pages with a green Published badge are live on the API; Draft pages are only visible inside the app.

Click New Page. Give it a title and start writing with the TipTap rich text editor — headings, lists, images, tables, code blocks, and embeds are all supported. The page is saved as Draft by default.

When the content is ready to go live, open the page and toggle the status from Draft to Published. Published pages are instantly available on the public API — no deploy or build step needed.

The read API lives at /api/public/cms. Pass your Project API Key in the X-API-Key header. GET /api/public/cms?projectId=<id> returns all published pages for that project. GET /api/public/cms/<pageId> returns a single page including its full HTML content. The API returns JSON — parse the `content` field and render it in your frontend.

Go to Settings → Integrations → CMS API. You'll see your API Key and your Project ID. Rotate the key at any time — the old key is invalidated immediately.

Open any page and expand the Meta panel in the sidebar. Set a custom SEO title, meta description, keywords, and canonical URL. These fields are included in the API response so your frontend can populate head tags without extra logic.

From the sidebar click Links. Existing links are grouped by tag.

Click Add Link. Paste the URL, give it a name, and add tags (e.g., 'Design', 'Client X', 'Tooling'). Save.

Go to Agents in the sidebar and open the Catalog tab. Browse blueprints grouped by category — Finance, Project, Team, Sales, Client, Executive. Click Install on any blueprint, adjust thresholds if shown (e.g. how many days overdue before an invoice reminder fires), then save. The agent starts running on its next scheduled tick.

In Suggest mode (the default), the agent queues a recommendation in your Inbox — you decide what happens. In Auto mode, the agent executes safe internal actions immediately and only surfaces a recommendation for actions that contact someone externally (sending an email, posting a comment). Switch mode from the agent detail page or during install.

Open the Inbox tab to see all pending recommendations. Each card shows what triggered it, what action is proposed, and a severity level. Click Approve to execute, Dismiss to discard, or Snooze to delay it. Approved actions run immediately — you'll see the result (email sent, task updated, etc.) reflected in the app.

Click Build Workflow in the Agents header. Pick a source (Invoice, Project, Client, Lead, Task, or Team), set IF conditions (e.g. 'days overdue >= 7'), choose THEN actions (e.g. 'Send payment reminder' or 'Escalate to admin'), and add more stages for a multi-step ladder. Use Preview to see which entities currently match before saving.

Build a custom workflow agent

From My Agents, click the Run Now button on any agent to trigger it outside its schedule — useful for testing a new setup or catching up after a configuration change. The run result appears in the agent's history.

Click any agent in My Agents to open its detail page. The history tab shows every run — when it fired, how many entities it scanned, and how many recommendations it created or auto-executed. Use this to tune thresholds if the agent is firing too often or not enough.

From the sidebar click Dataspaces. The list shows all dataspaces you can access.

Click New Dataspace. Give it a name and description, then add the columns you need (text, select with options, number, date, etc.).

Click a column header to sort. Use the filter bar above the table to narrow rows. Drag rows by their handle to reorder (sort must be off).

Dataspaces

From the sidebar, click Clients. The list shows name, primary contact, status, and total revenue. Use the search and tag filter at the top to narrow it down.

Click Add Client. Enter the company name, the primary contact's email and phone, billing address, and any tags. Save — the client is ready to attach to projects and invoices.

Open the client detail → Contacts tab → Add. Use this when the client has multiple stakeholders (project sponsor, accounts payable, day-to-day contact).

If the person came in through Leads, open the lead and click Convert. Their details pre-fill the client form so you don't retype.

On the client detail you'll find tabs for Projects, Invoices, Payments, Notes, and Documents — every interaction your team has had with them.

Click the email icon next to a contact to open the composer with their address pre-filled. Templates from Settings → Email templates appear in the dropdown.

Clients

From the sidebar, click Leads. The Kanban-style board groups leads by status; switch to list view for filters and bulk actions.

Click Add Lead. Enter the company, primary contact, source (where they came from), and any tags. Save — the lead drops into the New column.

Drag the lead card across columns as the relationship progresses. Each status change is recorded with a timestamp so you can review pipeline velocity later.

On the lead detail, click New Estimation. Add line items, taxes, and validity period — then download as PDF or email directly to the contact.

When the deal closes, click Convert on the lead. All contact info, tags, and the estimation transfer to a new client; the lead is marked Won and archived.

Click the Lost button and pick a reason. Lost leads stay searchable so you can re-engage later — they're just hidden from the default board.

From the Leads page click into the lead you're quoting.

Click New Estimation. Add line items with quantity, rate, and tax. The total updates live.

Enter how many days the estimation is valid for and any terms (deposit %, deliverables, exclusions). These appear on the PDF.

Download as PDF or email the contact directly — the email uses the Estimation email template.

When the lead accepts and converts to a client, the estimation acts as a template — generate a real invoice from it without retyping.

Estimations

From the Invoices page click Add Invoice, or from a project click New Invoice. Pick the client and the project — milestones and services pre-fill from the project. The invoice number is auto-assigned and gap-free for tax compliance.

Edit each line's quantity, rate, and tax. The total and tax breakdown update live in the summary panel. For foreign-currency clients, set the invoice currency and enter an Expected FX rate to see the projected base-currency total before the money arrives.

Open the actions menu (⋮) and click Email. The client receives a PDF attachment and the invoice flips to Invoiced. Print and download options are also in the same menu.

Scroll to the Payments section and click Add Payment. Enter the client-currency amount received, the paid date, the credited date (when it cleared your bank — used in revenue reports), and the pay account it landed in. For multi-currency invoices, also enter the actual base-currency amount so the pay-account balance reflects real money received.

Record a part payment

The Payments panel shows a running total of paid vs outstanding per milestone for multi-milestone invoices. For foreign-currency invoices that have an expected rate set, the panel also shows Expected received, Actual received, and Realized FX gain or loss.

Open the actions menu → Split. For invoices with multiple milestones, split by milestone — each milestone gets its own invoice. For a single-milestone invoice where a partial payment has been made, split by amount — enter the amount already received and the original invoice shrinks to that portion while a new invoice covers the balance.

Open the actions menu → Cancel to keep the invoice in the audit trail (cancelled invoices don't count in revenue). Delete is only allowed when the invoice has no recorded payments and is the highest-numbered for its billing account — this keeps numbering consecutive for tax reports.

Invoices

From the sidebar, click Expenses. The list shows date, vendor, amount, project, and status. Use the date range and status filter at the top to narrow down.

Click Add Expense. Pick the vendor, set the date, amount, and tax. Choose a project if it's billable to a client, and a pay account if you've already paid it. Save.

Record a one-off expense

Drag a PDF, JPG, or PNG into the Media section. Receipts are uploaded to S3 and linked to the expense — useful at tax time.

Open any expense and click Make Recurring. Pick the frequency (weekly, monthly, quarterly, etc.). The system generates a new expense record before each due date so it appears on the dashboard in time to pay it.

Edit the expense, set Status to Paid, and choose the pay account the money came from. The pay account's balance drops by the expense total.

Mark as paid

Editing the pay account on a paid expense automatically reverses the old debit and applies a new one — balances stay correct. Setting status back to Pending also restores the balance.

Expenses

From the Expenses page, open an expense → Make Recurring. Pick the frequency (Weekly, Bi-weekly, Fifteen days, Monthly, Two months, Quarterly, Half-yearly, Yearly).

The system shows when the next expense will be generated. Edit it if the first generation should happen sooner or later than the default.

Confirm the next run date

Generated expenses appear on the regular Expenses page with status PENDING. Pay them like any other expense.

Open the source expense → Recurring section → Pause. Paused rules don't generate new expenses; resume anytime.

Pause or stop a recurrence

Edit the source expense to change amount, vendor, or project for future generations. Past generated expenses stay as they were.

Recurring expenses

From the sidebar click Pay accounts. Each card shows the account name, type, and current balance.

Open Pay accounts

Click Add Account. Give it a name (e.g., 'HDFC current', 'Stripe USD', 'Petty cash'), pick the type, and set the opening balance. Save.

When the real-world balance drifts (bank fee, rounding, manual correction), open the account → Adjust. Enter the amount, direction (credit/debit), and a reason. The change is logged in the activity feed.

Open any account → Activity tab. You see every credit and debit with the source (invoice payment, expense, adjustment), running balance, and timestamps.

Not yet first-class — record a debit on the source account and a credit on the destination, both with matching reasons, until transfer support ships.
